Duties of Secretary
Secretary for the NBSMLT
The Secretary is appointed from among members of the Board. Duties commence on the first day of January, for one year, following appointment.
Duties
- Participate as a member of the Executive Committee.
- Arrange meeting rooms and refreshments as required.
- Record minutes at all Board, Annual General and Special meetings.
- Issue written notices of meeting and motions.
- Prepare and distribute agenda in consultation with the President.
- Sit near the presiding officer at meetings.
- Provide summary minutes of Board meetings to Board members when requested.
- Note attendance/absences at meetings.
- Prepare and circulate minutes of previous meeting.
- Read/summarize correspondence at meetings.
- Respond to correspondence as directed.
- Record proceedings (what is done), not the debate (what is said).
- Maintain current copies of the Act, Bylaws, Rules and other Society documents.
- Maintain electronic and hard copies of all approved minutes.
- Maintain and circulate contact information for Board members.
- Sign official Society documents as required.
- Call meeting to order, in the absence of the President and President-Elect and preside until the election of a chairman pro tem, which should take place immediately.
